Two quotations can look similar while covering different requests. Before comparing them, make sure both suppliers are responding to the same product brief and that any exceptions are visible to your purchasing team.

Establish a common comparison basis

Check the product reference, requested quantity, unit of measure, specifications and pack configuration. If one offer proposes an alternative, record it as an alternative rather than treating it as an exact match. Ask for clarification wherever the scope is incomplete.

Review what is included

  • Product and packaging configuration.
  • Documentation to be supplied.
  • Any separately quoted services or charges.
  • Proposed delivery arrangements and responsibilities.
  • Quotation validity and conditions requiring confirmation.

Separate timing from availability

Ask whether the quoted timeline starts at order confirmation, approval of specifications or another agreed milestone. A target delivery date and a confirmed dispatch commitment are not interchangeable. Keep unresolved timing questions visible during internal approval.

Keep a decision record

Use a short comparison sheet with a column for unanswered questions. Include the quotation date and reference so that your team can distinguish updated offers. Before placing an order, request confirmation that the selected scope and terms still apply. This approach helps reduce ambiguity without assuming that the lowest quoted amount represents the same deliverable.
